VINTEO Outlook plugin main functionality
This plugin is designed for scheduling video conferences, making entries about upcoming video conference sessions in the MS Outlook calendar, as well as automatically sending letters about planned events with data for connecting to them.
Launch MS Outlook. In the ribbon, select the VINTEO group and click “Connect”.
In the "Server" field enter the server address. The login is the user ID specified when registering on the VINTEO server or the admin account. Enter the parameters for connecting to the VINTEO server and click the "Connect” button.
An indicator that appears in the feed will indicate a connection to the server.
After which you can schedule a conference, as well as view the conference calendar.
Scheduling a conference
The item in the drop-down list opens the conference scheduler window, with which you can add an entry about a scheduled conference on the VINTEO server to the MS Outlook calendar.
To do this click the "Connected" button and select “Schedule a conference” from the drop-down list.
In the conference scheduler window, you must specify the conference parameters.
The "To" button allows you to select conference participants from the MS Outlook address book separated by a space.
After clicking the OK button, the field opposite the “To” button will be filled with the selected addresses.
Any characters can be entered in this field, however, if you enter information other than an email address after clicking the "Schedule" button, an error message may be displayed.
The parameters "Date", "Time", "Duration" can be entered either using the keyboard or using the mouse.
To be as informative as possible, it is recommended to fill out the “Subject” field and enter comments about the selected conference. This data will be displayed in the MS Outlook calendar and in a letter when sent to conference participants.
To complete the conference scheduling you must click the "Schedule" button.
If the "Send email notifications to conference participants" option is checked, then conference participants will receive an email containing an invitation and links to join the conference using various options.
The header of the letter will contain the information entered in the "Subject" field when planning the conference and the letter itself will begin with a description of this event.
Entries about planned events will be added to the MS Outlook calendar.
When you launch MS Outlook, reminders about scheduled events will be displayed.
